Full Job Description

The Volunteer Centre was established in 1974. It is a multi-faceted charity that operates a number of services within Newbury and West Berkshire. These include The Newbury Community Car Service, The Newbury and Thatcham Handybus Service, Newbury Shopmobility, and the West Berkshire Suicide Prevention Action Group.
Importantly, the charity performs the duties of a CVS (Council for Voluntary Service) and accordingly VCWB supports the voluntary and community sector in West Berkshire.
It is a nationally-accredited Volunteer Centre and currently receives the financial support of The Community Fund (The National Lottery), The Greenham Trust, West Berkshire Council and other grant-giving bodies. It also derives income from its services and donations.
The charity is registered as a CIO and is governed by a Board of Trustees, all of whom are local and have a stake in West Berkshire in some way. Led by the CEO, there are a small number of staff, including the deputy CEO, a training and events' organiser, a funding advisor, a recruitment officer, an accounts clerk, and a team of office and external volunteers.

The VCWB achieves its objectives by:
Supporting people to find volunteering opportunities and develop their skills and knowledge through volunteering and training.
Supporting charities and other not-for-profit groups with information, advice and training, and helping them to have a collective voice in matters that affect them and the people or environment they support.
Responding to communities who have identified needs and assist people to create the solutions they want to see, and help them to make change happen., This is intended to be a guide to the range and level of work expected. This is not an exhaustive list of all tasks that may fall to the post holder and they will be expected to carry out other such reasonable duties which may be required for time to time.
Training and events:
- Coordinate the training calendar, source and book trainers and publish training dates on website and local outlets
- Manage bookings including finding and booking venues
- Prepare training materials for training events and workshops
- Prepare and send out all joining instructions to delegates
- Collect evaluation data for reporting on training uptake and value to the sector
- Monitor invoices and payments for training and event bookings
- Oversee the event planning of our annual recruitment fayre
Administration / office support:
- Collect the post
- Answer email queries
- Answer office telephones
- Order office supplies
- Support the preparation of reports for external funders and CEO
- Carry out other responsibilities related to the post and as requested by the management team.

VCWB are looking for an experienced administrator with good event planning skills to join our team for part-time maternity cover starting April 2024 for a period of 12 months.,

  • Proven experience in website administration and use of Eventbrite

  • Proven experience in using standard IT systems including

  • + Microsoft Office
  • Proficiency in administrative tasks, including record-keeping and report generation


  • Skills and Abilities
  • Detail-oriented with good literacy and numeracy skills

  • Highly organised and capable of

  • event management and planning

  • Ability to work under own initiative as well as part of a team for our larger events

  • Ability to identify new opportunities, develop ideas and implement plans to completion


  • Knowledge
  • Reasonable understanding of the Voluntary, Community and Social Enterprise Sector and the importance of the role of VCWB as the Council for Voluntary Service in West Berkshire.
