Full Job Description

Mozer is looking for a capable Team Assistant to join our small, successful, and growing team, reporting to the Managing Director. You will have excellent organisation and time management skills and be able to manage multiple deadlines and competing priorities.

KEY RESPONSIBILTIIES

Maintain Mozer's systems

· Work with the Senior Bid Coordinator to manage housekeeping

· Maintain time sheets and live bid logs

· Update Mozer's bid library and website

· Manage Mozer's LinkedIn and Instagram accounts

Support the Team to coordinate bids

· Organise internal and external bid meetings

· Co-ordinate bid activities, meetings and reviews

· Manage Mozer internal bid, best practice and training folders

· Set up and manage external shared folders - predominantly on MS Teams

· Chase clients and consultants to meet internal draft deadlines

Manage travel and events

· Book travel, accommodation, and team event venues

Manage Mozer's hardware and software

· Set up IT equipment for new joiners

· Support and resolve IT issues by communicating with Apple and Microsoft

Support Mozer's financial book keeping

· Issue and chase invoices

Provide personal assistance to the Managing Director

· Ambitious, highly motivated individual

· Extremely well-organised with the ability to multitask

· A self-starter and problem-solver who can work under pressure

· Assertive and confident

· Excellent people management skills with strong tact and diplomacy

· Good communication skills is essential; you must be comfortable making regular phone calls and messaging/meeting on MS Teams whilst keeping emails structured and short

EXPERIENCE

· 2+ years in a Team Assistant /Secretarial role

· Working within a Bid Team is highly beneficial

· Strong understanding of Microsoft Office

· Experience or knowledge of property and design/print production would be advantageous,

  • A-Level or equivalent (preferred)

  • Customer service: 1 year (preferred)

  • Administrative experience: 2 years (required)
