Full Job Description

The Institution of Fire Engineers is a charitable organisation and membership body for professionals working in the fire sector, currently seeking an organised and professional administrator to join our headquarters team. The successful candidate will be responsible for scheduling, taking minutes, and responding to enquiries in an efficient, accurate, and timely manner.

The successful Administrator will be responsible for:

  • Manage meeting agendas, arrangements, appointments, travel, etc.

  • Taking of meeting minutes, adding and amending agenda items

  • Manage phone calls and correspondence (e-mail, letters, packages etc.)

  • Departmental processing: Processing of membership and registration (Engineering Council

  • and IFE contextualised registers) applications and certifications

  • Database amendments which may include membership changes of addresses, cancellations / resignations, deceased members and reinstatements.

  • Coordinate activities and operations to ensure efficiency and compliance to company policies

  • Updating literature and forms

  • Using Microsoft for Windows, incorporating Word, Excel, and Power Point (latest versions). Membership database system - Microsoft Dynamics CRM. Use of internet and Outlook. Use of NARIC subscription system to review submitted qualifications for equivalency.

    Excellent customer service skills

  • Experience of using systems for data entry and reporting

  • High standards of accuracy, record keeping and attention to detail

  • Excellent IT skills and competence in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams)

  • The ability to communicate effectively and in a professional manner, both written and verbally including letter writing skills, emails, face to face, telephone and video conferencing

  • Proofreading skills

  • Good time management skills with the ability to prioritise, plan and organise day to day activities ensuring that deadlines and objectives are achieved

  • Ability to act with professional integrity and confidentiality at all times

  • Experience using of CRM systems, particularly Microsoft Dynamics, will be beneficial

  • A-Level or equivalent (required), A-Level or equivalent (required), customer service: 2 years (required)
