Full Job Description

  • To act as first point of contact for managers and sponsored employees relating to the sponsorship process and associated queries.

  • To take responsibility for producing contracts of employment and the auditing of files for sponsored employees.

  • To manage the Sponsorship Queries inbox in a time manner; keeping managers and employees updated on the status of their sponsorship.

  • Keep all documents and associated records up to date, ensuring the accuracy and integrity of HR data, including updating the HR system.

  • Work closely with site administrators, site manager and wider HR colleagues to ensure a seamless and smooth sponsorship process for all qualifying employees.


  • Main Responsibilities include:
  • To lead on the auditing of pre-employment, and sponsorship items as required; including DBS, references, right to work in the UK and English proficiency documents.

  • To work in line with Home Office guidelines surrounding sponsorship of employees.

  • Ensuring the relevant documents and systems are kept up to date to accurately reflect the status of the new starter and the outstanding pre-employment checks and contractual information.

  • Chasing sites for outstanding sponsorship items, and ensuring completion of all information as necessary.

  • Timely management of the shared inbox; responding to queries from hiring managers and candidates.

  • Maintaining regular communication with hiring managers and employees; keeping them engaged and informed of the progress of sponsorship status.

  • Working closely with the HR Operations team to ensure a seamless sponsorship experience as well as working closely with sites.

  • Continuous improvement of the sponsorship function.

  • Promoting Cygnet Health Care as an Employer of Choice and being a Brand Ambassador; focussing on delivering the best possible candidate experience.

  • Following agreed processes to ensure consistency across the organisation.

  • Manage, store, use and maintain personal data, ensuring compliance with GDPR and internal policies.

  • Support with any ad-hoc projects within HR Operations / Internal Recruitment as required.

  • Plan and implement personal and professional development, participating in training and other learning activities as required.

    We are looking for a Sponsorship Administrator to join our team at our Cygnet offices in Birmingham.
